In this versatile role, you and your Front Office colleague will form the beating heart of the office. You know what's going on, ensure that everything runs smoothly, always think one step ahead, and effortlessly maintain an overview. In addition to daily office support and facility management tasks, you will also be responsible for operational and tactical HR support. Together with your colleague, you will ensure a professional, service-oriented, and well-organized working environment. Our client is a small law firm with an open and informal corporate culture.

Activities

    Office Support:
  • Supporting management and acting as a source of information for the organization on office-related and personnel matters.
  • Ensuring the office environment and layout are welcoming and inviting.
  • Managing the telephone, mail processing, couriers, calendar management, mailbox follow-up, etc.
  • Welcoming clients.
  • Attend board meetings and independently and proactively take on any resulting tasks.
  • Financial administration (checking and processing invoices/preparing them for payment).
  • Preparing the biweekly newsletter.
  • Liaising between employees, management, and external parties.
  • Acting as internal and external point of contact for facility management, automation, and accommodation.
  • Ordering groceries, purchasing office supplies, gifts for clients and colleagues, etc.
  • Filling in for each other in case of absence or during busy periods.
  • Identifying and resolving areas for improvement in office and HR processes.
  • Events:
  • Organizing internal events, drinks, and meetings, including the annual Herring Party. HR Support:
  • Supporting recruitment and selection (job openings, scheduling interviews).
  • Onboarding and offboarding of employees.
  • Management of personnel files and contracts.
  • First point of contact for HR questions from employees.
  • Leave and absence administration.
  • Passing on changes to the external payroll administration and checking payslips.
  • Contributing ideas about HR policy and personnel processes.

Profile

    HBO working and thinking level and at least 5 years of relevant work experience (preferably in business services).
  • Experience with HR support and organizing events.
  • Hospitable, service-oriented, and with a big heart for hospitality.
  • People-oriented team player. Connective and empathetic.
  • Helicopter view, strong organizational skills.
  • Social antenna and sense of humor.
  • Structured, accurate, and an eye for improvement and innovation.
  • Proactive; also looks at things from a different perspective.
  • Confident, dares to speak to colleagues.
  • Solution-oriented, stress-resistant, and able to switch gears quickly and multitask.
  • Can-do mentality, stable personality, and critical thinking skills.
  • Tech-savvy and digitally skilled.
  • Available 32 hours per week.
  • Proficiency in Dutch and English, both spoken and written.
  • Living in the Amsterdam area.

  • Salary between €3,000 and €4,500 gross per month on a full-time basis, depending on your experience, plus an 8% vacation allowance.
