We are looking for a self-driven and spontaneous professional to join the team of our fast growing client a leading global private markets fund manager headquartered in Schiphol. The organization consists of approximately 180 professionals working in a variety of disciplines, mainly fundraising, origination/investments, finance/accounting/reporting, and asset management. The Amsterdam office has over 70 employees and is located in the WTC at Schiphol whereas the other offices are located in Frankfurt, London, Luxembourg, Madrid, New York, Paris, Santiago de Chile, Sydney and Toronto. You will become part of team of 3 that is jointly responsible for performing the responsibilities of the assistants function. In this role you will be responsible for the organization of alle administrative and clerical duties within the organization. You will assist management in all tasks.

Werkzaamheden

    In this role, you will:
  • Coordinating daily calendars of senior managers;
  • Plan appointments and events;
  • Acting as the point of contact between executives and employees/clients;
  • Make travel arrangements;
  • Manage phone calls and emails;
  • Respond promptly to managers’ queries
  • Organizing, preparing and facilitating meetings and ensuring managers are well prepared;
  • Facilitate internal communication (e.g. distribute information and schedule presentations);
  • Organizing, preparing and facilitating events;
  • Checking and authorising purchase invoices via Oracle;
  • Keeping credit card administration up to date in Certify.

  • Discreet and tactful (Experience exercising discretion and confidentiality with sensitive company information);
  • Minimum of 6 years’ experience as a Management/Personal Assistant in a Financial/Legal industry, Consultancy firm or Partner organization;
  • Bachelor working level;
  • Outstanding communication skills (oral and writing) in both Dutch and English;
  • Excellent proficiency in MS Office (Solid experience with MS Office);
  • Able to maintain a high level of energy and be flexible as needed;
  • Accurate and eye for detail;
  • Enterprising, pro-active (Excellent organizational skills with an ability to think proactively and prioritize work).
